1. Who We Are
Starion AI ("we", "us", or "our") provides 24/7 AI conversational receptionist software (StarBot) for UK dental practices. Starion AI is founded by Piyanshu Singh and operates online via starion.site. Contact email: hello@starion.site.
In relation to our website visitors and prospective practice clients, Starion AI acts as the Data Controller. When StarBot is installed on a client dental practice’s website, the dental practice is the Data Controller of patient enquiries, and Starion AI acts strictly as a Data Processor on the practice’s behalf.
2. Data We Collect and Why
A. Practice Inquiries & Demo Requests: When you complete our demo request form, we collect your name, practice name, business email, and phone number so we can arrange your demonstration and provide follow-up information.
B. Patient Enquiries Processed Through StarBot: When a dental patient interacts with StarBot on a client's website, StarBot captures only the information voluntarily provided by the patient (typically their name, phone number, email address, preferred appointment time, and the general dental treatment they are enquiring about).
C. What We Do NOT Collect: We do NOT ask for or store medical history records, national insurance numbers, or payment card information through our chatbot.
3. Lawful Basis for Processing (UK GDPR Article 6)
- Legitimate Interests: To respond to your enquiries, provide demonstrations, and ensure the technical stability and security of our software.
- Contractual Performance: To configure and operate StarBot under our service agreement with your dental practice.
- Consent: Where a patient explicitly requests an appointment contact back from your practice.
4. How Patient Enquiry Data is Handled & Transferred
When a patient submits an enquiry through StarBot on your website:
- The enquiry is instantly dispatched directly to your authorized practice reception email or booking calendar.
- Patient enquiries are never sold, never shared with third-party marketers, and never used to train public language models.
- Data transmissions are secured using standard HTTPS encryption.
5. Data Retention
We retain practice enquiry contact details only for as long as necessary to fulfill the purpose for which it was collected or to comply with statutory obligations. Patient chat enquiry records are automatically purged or anonymized after transmission to your practice.
6. Your Rights Under UK GDPR
You and your patients have the right to:
- Request access to the personal data we hold about you.
- Request rectification of inaccurate personal data.
- Request erasure of your personal data ("right to be forgotten").
- Object to or restrict the processing of your personal data.
- Lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.
